Summary of Role

The purpose of this role is to meet and greet all visitors to the site and deal with any queries that come through to Reception, in person, by phone or email, in a professional manner. The Receptionists will also deal with a range of administrative duties as detailed below.

Key Responsibilities & Duties

  • Greet incoming visitors, determining the nature and purpose of their visit
  • Notify the appropriate person that a visitor has arrived to see them
  • Maintain security for the building by ensuring all visitors sign in when they arrive and are provided with a visitors pass and also ensure that all visitors sign out when they leave the building and return their visitors pass
  • Answering phone calls and responding appropriately to the caller’s needs
  • Maintain meeting room calendars for Boardroom, booking rooms upon receipt of email requests and confirming the bookings accordingly
  • Oversee dispatches and deliveries of items to and from the building
  • Assist in the co-ordination and set up of meetings in our Boardrooms
  • Arrange catering for specific meetings
  • Ensure the Reception area remains a tidy and safe environment
  • Assist with post room duties when required
  • Book couriers and taxis when required
  • Make hotel reservations when required
  • Create purchase orders when required
  • Manage archive box requests
  • Provide general administration support
  • Maintain and order stationary and other supplies as and when required
  • The role holder will also be required to carry out any other duties that may reasonably be required in line with the main duties detailed above.

Knowledge, Skills and Experience

  • Previous experience in Reception and Administration
  • Excellent written and verbal communication skills
  • Strong interpersonal skills
  • Good computer skills and experience in using Microsoft Office
  • Professional, welcoming, well presented, and courteous

Additional information

Reception operating hours are 8.00am to 5.00pm Monday to Friday.

Role 1: Morning shift 8.00am to 1.00pm (Mon-Fri)

Role 2: Afternoon shift 12.45pm to 5.00pm (Mon-Fri)
